The golden rule is - Make sure you do your homework beforehand and abide by the golden rule... never select a venue without having seen it in person!
Timing is everything - The decision about when to hold your event is determined in large part by the venue's calendar. If you have your heart set on a busy function centre that seems unable to fit you in, be flexible with the time. Would it be better of an evening? Perhaps it could be held on a weekend?

Right atmosphere - Your function centre of choice should be working with you to spark excitement and add the right ambiance. Novelty is the key to success, so encourage them to give guests something to rave about even if it is in the form of a snazzy coffee bar or startlingly beautiful champagne fountain. Remember to check all decorating plans with the venue in advance because many have restrictions on what they allow. For example some establishments forbid helium balloons, others have fire, height and noise restrictions.
Facilities - Seek out a venue that includes audio-visual equipment, stages, and microphones. Then there are the seating arrangements/capacity and sponsor areas - are you able to engage outside vendors and use break-out rooms? Keep in mind the ease of travelling for guests to and from the venue. Is there parking available? Is there accommodation for your out-of-town guests? Is it easy to find?

Branding - Branding is key, so make sure you can do it! Ask the venue coordinator what signage and branding opportunities are available, not just in the event space itself. Do they have an in-house electronic marquee and can you place signage in the foyer space? These are important questions to ask.
Technical - It is important to see if the venue offers charging stations and Wi-Fi availability for your attendees. If not, this is an additional element you will need to provide. Also, determine if there will be tech support available onsite during your event.
Nothing aggravates attendees more than having their mobile device off the air or having to wander around the event searching for Wi-Fi connection. According to a 2018 study, 78 per cent of event professionals agree that WiFi availability and performance remains as one of the biggest issues at their events.
